Board of Directors

December 5, 2017

 

The Regular meeting of the Fairfield Bay Community Club Board of Directors was held on Tuesday, December 5, 2017 at 10:00 a.m. in the Fireside Room at the Indian Hills Complex.

Directors attending were: President Jack Weeks, Bill Fisher, Doug Forsman and Rose Shurts. Dave Foster and Lacey Mitchell were absent. Nancy Mueller entered the meeting at 10:35 a.m.

Also attending: Rocky Nickles, General Manager, and Tommy Hoffman, Chief Financial Officer.

Ten managers and two guests attended the meeting.

President Weeks called the meeting to order.

President Weeks led the group in the Pledge of Allegiance and Prayer.

17-99 Motion was made by Doug Forsman, seconded by Rose Shurts, and unanimously carried to accept the Regular meeting minutes of October 24, 2017, as presented.

17-100 Motion was made by Doug Forsman, seconded by Rose Shurts, and unanimously carried to accept an e-mail Survey of October 30, 2017, as presented.

            17-101 Motion was made by Doug Forsman, seconded by Rose Shurts, and unanimously carried to accept an e-mail Survey of November 9, 2017, as presented.

The financial report was given by Tommy Hoffman, Chief Financial Officer.

The Manager reports were given.

Nancy Mueller entered the meeting.

Mr. Nickles stated the City has asked if the Community Club would consider taking over the campgrounds at the Marina.

Mr. Nickles stated the Fairfield Bay Community Foundation has merged with the Arkansas Community Foundation. The 501c3 status will no longer be of use to them. Mr. Nickles stated he plans to ask the Board to bring it back under the Club’s umbrella.

17-102 Motion was made by, Doug Forsman, seconded by Bill Fisher, and unanimously carried to approve the creation of a Fairfield Bay Heritage Commission. Included in the scope of this commission will be the Log Cabin Museum, Log Cabin, and the Indian Rock Cave, establishing a Historic District.

17-103 Motion was made by Doug Forsman, seconded by Nancy Mueller, and unanimously carried to enter into a relationship with Tiny Home builder, Scott Steward in Mt. View, AR, as long as all details are approved.

Pickle board grant was denied. Rocky Nickles said the Club should begin looking at making a plan to build three courts.

Mr. Nickles reported in January he plans to ask the board to approve the purchase of a 2009 John Deere Tractor and sidearm bush hog which will be purchased from Van Buren County. It will be used to clear our road right-of-ways.

Public Works will begin crack sealing roads soon, and begin work to clean up storm damage.

17-104  Motion was made by Rose Shurts, seconded by Bill Fisher, and unanimously carried to approve the purchase of a 2017 550 Ford flatbed truck for Public Works in the amount of $45,818.

17-105 Motion was made by Doug Forsman, seconded by Rose Shurts, and unanimously carried to approve the purchase of a 2017 250 Ford pickup for Wastewater, not to exceed $37,879.

17-106 Motion was made by Rose Shurts, seconded by Nancy Mueller, and unanimously carried to approve the purchase of 5 three yard dumpsters, 10 two yard dumpsters, 10 winch hooks, plus freight and taxes for Public Works in the amount of $9,234.50.These will be purchased in 2018.

17-107 Motion was made by Doug Forsman, seconded by Bill Fisher, and unanimously carried to appoint Thomas and Thomas as independent auditors for the Community Club and Wastewater for 2018.

John Conry introduced Amanda Dotson with Forza Energy. Forza Energy is offering to do a free LED Lighting survey for the Community Club.

17-108 There being no further business to bring before the Board, a motion was made by Rose Shurts, seconded by Doug Forsman, and unanimously carried to adjourn.
